Media Mail is a special USPS shipping class created by the federal government to subsidize the distribution of educational and cultural materials — books, sound recordings, printed music, recorded video, and similar items. It’s intentionally cheap so that small publishers, authors, and independent bookstores can ship physical books affordably. The catch is that Media Mail comes with strict content rules, USPS audits it, and labels can’t be bought through every shipping integration. Most general-purpose ecommerce platforms either ignore Media Mail or require authors to bolt it on manually. Rates are billed per pound or fraction thereof, rounded up to a whole pound. A book weighing 14 oz still costs the 1 lb rate (5.97).
The platform adds a small buffer to the buyer-facing rate to absorb variations between the published Notice 123 rate and what an author might actually pay at the post office.
Eligibility (strict — all must be true)
A cart qualifies for the Media Mail option at checkout only if every condition is met:- Origin is in the United States — the workspace’s configured shipping origin must be a US address
- Destination is in the United States — the buyer’s shipping address must be a US address with a country explicitly specified
- Every physical item in the cart is a book — each physical line item must be linked to a book in the author’s CabinsPress library; standalone merch (mugs, bookmarks, posters) disqualifies the entire cart
- Every physical item is a hardcover or paperback variant — audiobooks count as digital and are skipped from eligibility checks; ebooks count as digital and are skipped; custom variants (signed editions of merch, etc.) disqualify
- Total package weight ≤ 70 lb billable — books default to 500 g per copy if the author didn’t set a custom weight on the variant
- Cart contains at least one physical item — digital-only carts don’t see shipping options at all

When a buyer selects Media Mail, the Order Detail page in the shop admin makes the special handling crystal clear:- The Buy Label via Shippo buttons are disabled
- Shippo rate lookups are skipped entirely for Media Mail orders, so authors do not see label-purchase errors for a shipping method that must be bought through USPS

A prominent banner appears with instructions:
“This order was shipped with USPS Media Mail (quoted retail rate from Notice 123). Shippo labels are not used for this method. You must go to a USPS location (or usps.com) and purchase postage, explicitly selecting the ‘Media Mail’ service for this package, and comply with USPS Media Mail content and packaging requirements.”
- The author still uses Manual tracking to enter the tracking number once they’ve shipped, which sends the buyer a shipping notification
Step-by-step what the author does
- Pack the order: only books, no extras (see USPS content rules below)
- Either:
- At a post office — bring the package to the counter, tell the clerk “Media Mail,” they weigh it and apply postage
- At usps.com — print a label by selecting “Media Mail” as the service class, weigh the package at home, and pay
- Hand the package off to USPS (counter drop-off or mailbox pickup depending on size)
- Return to the order in CabinsPress and enter the tracking number under Manual tracking
- Click Mark as shipped → buyer gets the shipping confirmation email automatically
USPS Media Mail content rules (what authors must follow)
The post office can open and inspect any Media Mail package. If they find disallowed content, the package may be charged the higher Priority rate, returned, or — for repeat violations — get the sender flagged. Allowed content:- Books (8+ pages, including printed advertising tied to the book’s content)
- Sound recordings (CDs, tapes, vinyl with educational, informational, cultural, or scientific content)
- Printed music
- Printed objective test materials, scripts, manuscripts
- Educational reference charts and printed educational material
Not allowed in Media Mail
- General merchandise (bookmarks, stickers, swag, mugs)
- Promotional inserts or advertising unrelated to the book being shipped
- Bookplates with handwritten notes are usually fine; promotional flyers are not
- Greeting cards, comic books (in some interpretations), and magazines
- Anything in a package that isn’t predominantly the allowable items
Edge cases & gotchas
- Mixed carts with merch: If a buyer adds a paperback and a coffee mug, Media Mail won’t appear as an option. The author would need to ship the order through a non-Media-Mail rate, or split the fulfillment manually.
- Mixed physical + digital: Digital items are skipped from the eligibility check entirely. A cart with one paperback and one ebook can still qualify for Media Mail — only the physical book matters for shipping.
- Audiobooks as a physical item: Audiobook variants in CabinsPress are digital today. If you ever sold a physical CD audiobook, it would be a custom variant and disqualify Media Mail under current rules.
- Heavy orders: Past 70 lb, USPS Media Mail won’t accept the package and CabinsPress won’t quote it. In practice this almost never matters for single book orders, but bulk shipments to bookstores might exceed the cap.
- International buyers: Media Mail is US-domestic only. International buyers don’t see this option even if every other condition is met.
- Speed expectations: Media Mail typically takes 2–8 business days but USPS doesn’t guarantee a delivery window. Authors should set buyer expectations accordingly — there’s no tracking SLA recourse.
- Default weight: If an author didn’t set a weight on a variant, the platform assumes 500 g per book (roughly typical for a trade paperback). Authors selling heavy hardcovers or art books should set actual weights on the variant to avoid undercharging for shipping.
